Rentec Direct is excited to introduce an upcoming feature that automates the delivery of notices and letters to tenants through a new integration in your Rentec Direct property management software. Your development team understands the challenges, importance, and flexibility required for mailing out notices and letters and has developed a brilliant solution in the new Mailing Wizard tool and newly integrated PostGrid mail delivery services.
The New Mailing Wizard
The new Mailing Wizard tool lets you send notices, letters, and messages to individual or multiple tenants via email, print, or USPS mail. Messages can be entered manually, or use templates with data fields to auto-populate information from your Rentec Direct account for more formal communications. Tenants can be filtered by Rent Overdue and Lease End Date by default, making it convenient to send lease renewals, overdue notices, or other appropriate documentation to all selected tenants.
The new Mailing Wizard is designed to work seamlessly with Rentec Direct default settings, custom forms, and data fields. You will be able to:
- Personalize your letters by selecting your preferred letterhead with your company name, address, and logo in Program Defaults
- Copy an existing Custom Form to create a new Mailing Wizard Template with auto-populating data fields. Some of the useful data fields include:
- Tenant Name
- Tenant Address
- Lease Begin and End Dates
- Rent Amount
- Balance
- Quickly see if there are tenants with Rent Overdue or Lease Expires Soon status on the Summary page.
The Mailing Wizard provides three options for submitting Notices and Letters:
- Email – Sends an email to the tenant/s with the document as an attachment
- Print – Prints the document(s) formatted for a double window envelope
- Mail via PostGrid – Sends letters and notices to PostGrid to mail for you via:
- First Class
- Certified
- Certified with Return Receipt as proof of delivery
Important Note: Include consent for electronic communications in your lease or obtain tenant written consent according to your local legal requirements.
What is PostGrid?
PostGrid is a platform that leverages AI technology to automate the task of mailing notices, letters, and other essential documents. PostGrid integrates with Rentec Direct software through a RESTful API, allowing the personalization of printed communications using data fields from Rentec Direct accounts. With enhanced address verification, PostGrid prides itself on a two-day SLA (Service Level Agreement) for processing mail and ensuring prompt delivery.
